Registration Overview & Frequently Asked Questions
I. Registration Process
- If you are participating in NCUR® through your
college or university’s Undergraduate Research program, please
work with that department and your faculty advisor for specific
registration instructions. In many cases, the Undergraduate
Research department coordinator is responsible for registering
all presenters and attendees from their institution.

- If you are participating in NCUR® on your own
or have been advised to register on your own, you may register
online through this web site, using your presenter
identification number, after you have been notified of
acceptance to the conference.

- If you are a faculty member or non-presenting student
wishing to attend the conference regardless of abstract
acceptance, you will be able to register for NCUR® 20
using the online registration process as soon as it becomes
available. (Please remember that registering for the conference does
not imply acceptance for presentation. Only registrants who
enter a valid presenter identification number will be scheduled
to present at NCUR® 20.)
II. Frequently Asked Questions
Q: How do I
receive a Presenter Identification Number (PIN) if I am a
co-presenter?
A: If you are a group
or co-presenter, your PIN was emailed to the primary presenter or
the person who submitted your abstract, as well as your faculty
advisor. You may contact that person or the NCUR® 20
office to obtain your PIN number.
Q: If I am a
co-presenter and someone else submitted the abstract, do I still
need to register for NCUR® 20?
A: Yes, all presenters
and co-presenters must register for NCUR® 20 in order to
attend and present.
Q: May faculty
advisors and mentors present with their student advisees at NCUR®?
A: No, NCUR®
is a presentation opportunity for undergraduate research students
only. The only avenue for faculty presentation at NCUR®
is through the Faculty Administrator Network (FAN) sessions. (The
deadline for submission of FAN session abstracts has passed.)
Q: May parents
attend their student’s presentation? If so, do they need to register
for the conference?
A: As a general rule,
all persons wishing to attend the conference must register and pay
for NCUR® participation. We will make an exception to
this rule for parents wishing to attend their son or daughter’s
presentation. Parents may send their names and name of presenting
child to ncur20@unca.edu. We
will provide a special Visitor’s pass that allows them to attend the
one session where their child is presenting. (Due to space
limitations, we cannot open up other activities including lunches,
dinner and tours to visiting parents. These activities are limited
to paid conference participants.) Parent’s can obtain their Visitor
pass at the Visitor table at NCUR® 20 conference
check-in.
Q: Can I
request a specific presentation date and time?
A: We understand that
students and faculty sometimes need to request specific presentation
dates and times. While we will attempt to accommodate special
requests, we cannot guarantee it. Special requests should only be
made if absolutely necessary. We encourage participants to attend
all three days of the conference as it is an excellent opportunity
to see, hear and support fellow researchers and their presentations.
Q: Does NCUR®
provide travel assistance or funding to the conference?
A: At this time, there
are no NCUR® based funds or scholarships for participants
in the conference. If you are in need of financial assistance to
attend NCUR®, please check with your faculty advisor or
your university’s Undergraduate Research program for possible
assistance and support for registration and travel to the
conference.
Q: Do I make
hotel reservations through the NCUR® web site?
A: No. NCUR®
has secured room blocks and special rates at area hotels as a
convenience to our participants. When online registration opens,
NCUR® will provide a listing of all conference hotels,
rates and contact information on the NCUR® 20 web site.
NCUR® is not, however, involved in the hotel reservations
process. NCUR®
participants and university groups are responsible for securing
their own hotel reservations.
If you are participating through your college or university’s
Undergraduate Research department, please coordinate your
reservations through your advisor or Undergraduate Research
coordinator. In many cases, this person will make reservations for
the entire delegation from your college or university.
If you are responsible for making your own hotel reservations,
you must contact your hotel of choice directly and, in most cases,
provide a credit card guarantee for your room. Be sure to ask for
the NCUR® rate.
As NCUR® has secured many different hotels which have varying and
diverse guest policies and procedures, guests are responsible to
become familiar with and abide by their chosen hotel’s policies.
Q: How will
NCUR 20® manage the acceptance and return of mailed-in artwork?
A: NCUR 20® will provide visual arts presenters with
specific shipping instructions upon notification of acceptance.
These instructions are also available under
Presentation Guidelines.
At the end of the conference, students with work they wish to
ship back to their home or
school addresses will be asked to package the work (packaging not
provided) and pay for the shipping costs. It is strongly suggested
that you insure your shipment, if desired, as neither NCUR®
nor UNC-Asheville will be responsible for any damages in the
shipment of items to and from the NCUR® 20 conference.
A UPS Shipping Center is located just outside NCUR®
conference registration headquarters in Highsmith Union and will be
open during and after NCUR® for your convenience in shipping artwork
and other items back home. Hours of operation will be posted as the
conference dates approach.
Presenters are also welcome to bring their work on the first day
of the conference for display.
Q: Are meals
provided at the conference?
A: The conference
registration fee includes three box lunches as well as access to
hospitality tables throughout the conference (i.e., coffee, donuts,
juice, etc.). Tickets to the Friday evening dinner event must be
purchased for a cost of $25 per ticket. Please select that option
when you register for the conference. There will be limited seating
for this event and tickets will be available on a first-come,
first-serve basis.
